Telehealth: Phone Ringing and Appointment Confirmations

When a doctor starts a Telehealth call with a patient, both on iOS and Android, the patient's phone will ring. For MyHealthAccess, whether the user is in the waiting room in the app or not, the phone will ring connecting the patient with the doctor more seamlessly.

Telehealth appointments are on the rise, so we recently added new functionality that rings your patients' iOS and Android phones. This means they do not have to have the application open to receive the call.


      

The typical flow of a Telehealth appointment is as follows:

1.       The patient, we will call her Mary, uses the MyHealthAccess application or website to book a telehealth appointment with your clinic. She automatically receives a message to confirm that the booking has been completed.

2.       The appointment is added to the appropriate provider’s schedule in your Juno EMR. It can easily be identified by staff members and physicians as a Telehealth appointment as it has a camera icon on the left of the appointment entry, beside the appointment status icon.

3.       Mary receives an email with the Telehealth appointment details 30 minutes before the appointment. This acts as a reminder. She does not need to open MyHealthAccess on her mobile device at this point.

4.       When the doctor is ready to see Mary, he/she can start the telehealth appointment by clicking on the camera icon. This will launch the Telehealth session. The doctor will then be able to call Mary by clicking on the Call Patient button.

5.       Mary’s cell phone rings and vibrates as the Telehealth call arrives, just like a regular call. Mary answers.

6.       The Telehealth appointment starts.

7.       Upon completion of the Telehealth appointment, the call ends, and the doctor documents his encounter in Mary’s chart.

 

 

You will also be pleased to know that an appointment confirmation feature is now available which allows your patients to confirm their appointment times. Patient-confirmed appointments are identifiable by looking at the icon on the right of the appointment in the Juno schedule.





The confirmation feature is part of the reminders module and can be configured by going through the following steps:


1.       Begin by accessing the MyHealthAccess admin portal for your clinic. This is done by clicking on the “MyHealthAccess” link at the top of your schedule page.

2.       Once in MyHealthAccess, click on the “Settings” tab towards the top right of the page, then select the “Reminders” tab.

3.       Ensure the appointment confirmations feature for your clinic is enabled. The toggle next to “Enable Appointment Confirmations?” should display “ON”.

4.       Create a new appointment reminders schedule rule to determine when the confirmation request will be sent to your patients:

    • Select what type of message will be sent out: a text message, email, or both.
    • Change the drop-down selection from “reminder” to “confirmation”.
    • Enter how many days before the appointment you would like the confirmation-reminder to be sent.
    • Click on the “Create New” button.

5.       Configure the appointment confirmation templates. These can be found by scrolling down on the page. You can determine the email subject and body for email confirmations, and the text for text messages. You can find the list of available text placeholders by clicking on the “Show Instructions” link just above the “Email Subject” field. These tags will be replaced by the patient, provider or appointment information when the reminder is sent.

6.       Select "Save Template Settings" to complete the setup.

For Juno EMR it’s no different, we are evolving and the past year has been a whirlwind of growing our team, developing new features, finding solutions to new problems, and building on Juno EMR's rock-solid foundation. Now we're looking to take a major step forward in our communication with clients both new and established, and we're starting with the brand new Juno EMR website!

Telehealth Enabled in Juno

Telehealth has been enabled in Juno

We have seen a massive response to our newsletter that went out on Monday announcing the availability of Virtual Care in Juno EMR.  Given this response, we have taken the step to proactively enable the Juno-side part of the Telehealth integration for all our customers.

Why did we do this?  This change will help us streamline the on-boarding for all customers who want to quickly get access to Telehealth during the current Pandemic.

This change DOES NOT mean that you are immediately able to run Telehealth appointments if you don't have your MyHealthAccess (MHA) account set-up.

This change DOES mean that if you would like to move forward with doing Telehealth, your Juno account is already pre-configured to make that happen.  It also means that you will see a new Tab at the top of your Juno EMR in the Classic UI called "MyHealthAccess".  The “MyHeathAccess” tab will only work for you once your MHA integration is correctly configured.

We've also created a Telehealth set-up guide which you can find here to help with getting set up on Telehealth. This document is new and will be changing quickly as the rollout of the program continues.

Virtual Care in Juno EMR is here!

Virtual Care in Juno EMR is here! 

As mentioned in previous newsletters, we’ve been working hard on updates to our MyHealthAccess patient portal to bring a tightly integrated Telehealth option to our platform which will allow our customers to easily see their patients virtually. For the past few months we’ve been beta testing this system with select customers and we’re pleased to announce today that our virtual care platform is now available for all Juno EMR users.

With the COVID-19 pandemic currently gripping our country and the world at large Virtual Health can play a key role in the delivery of care. It can ensure that patients who do not need to come into the office can see their care provider from home.  It can also ensure that patients who could possibly have the virus can be assessed from home and given instructions before coming into an office and possibly endangering others.

Due to the severity of the situation our company has made the decision to offer our Virtual Care offering for FREE OF CHARGE for a trial period until July 1st.

Our focus is on helping our customers and their patients during this epidemic and lowering the barriers to using Telehealth.

How to get started

It’s important to note that getting set-up for the MyHealthAccess Telehealth platform will require customers to first integrate MyHealthAccess with their Juno.  Customers who are not already using MyHealthAccess will need to get set-up before they can take advantage of the new Telehealth features.

Customers already integrated with MyHealthAccess for online booking will be able to start using Telehealth once we enable the feature in your EMR. Once enabled, the new Telehealth feature will add a MyHealthAccess tab to the top of your EMR allowing you to quickly access your MyHealthAccess Clinic Admin portal.  Launching a booked Telehealth appointment from Juno EMR will be as easy as clicking the Telehealth icon on the appointment within your schedule screen.


In order to lessen the probability of missing a Telehealth visit, our integration requires that patients sign up for a MyHealthAccess account before booking Telehealth appointments and that the office links those accounts to a valid demographic record in Juno EMR.

Currently, the booking of a Telehealth appointment has to be done by the patient.  Within the next few days however, we will roll-out a new feature which will allow offices to book their own Telehealth appointments with patients as long as they have a connected MyHealthAccess account.

As governments around the world respond to the COVID-19 pandemic and look to integrate Telehealth into the delivery of their healthcare models, we encourage you to take advantage of our offering.

Juno EMR - Launch of our new User Interface!

We have officially launched our newest User Interface!  With the Juno UI, there are a lot of modern features included that will help manage your daily workflow. You can access this new Juno UI by clicking on the Juno icon located at the top left side of the main scheduling page.


Some of the new modern features in our new Juno UI are:
Dashboard
- The dashboard is unique for each individual provider, showing an organized to-do list for the day.
- Clicking on the icon on left side will open a side panel that allows the Care Providers to view their schedule at a quick glance.

Modern Patient Encounter Chart
The encounter notes can remain open as you move between other sections of the EMR. So you can add to your note while navigating the eChart, checking prescriptions, or looking at your patients' documents.
- Incoming section is a feature that displays labs that have come in for that particular patient.

A Brand New Scheduler
- The ability to drag & drop appointments directly on the appointment page.
- Quickly edit a scheduled appointment by clicking on it. This will pop up instantly allowing you to make changes quickly.
- Any changes that you make in the new UI will reflect in the classic UI as the database is connected and synced.
To change your default setting from the classic Oscar UI to the new Juno UI you can click on User Settings in the drop down menu in the top right hand corner under you user profile. Otherwise you can also use the Icon in the top left hand corner to move between the two different UI's depending on your personal preference.

MyHealthAccess is FREE!

Yes, you read that right! Juno is proud to announce that our MyHealthAccess patient portal is now included in your Juno subscription. This means that automated reminders, 24/7 online booking and secure patient messaging are now included with your EMR at no extra cost!

What's more, we've launched our MyHealthAccess platform as mobile applications in the app-stores for Android and iOS so your patients can book appointments and read their notifications from the convenience of their mobile phones.

We are also continuing our work on MyHealthAccess to launch a TeleHealth integration within the app. This will be very tightly integrated with Juno so you can easily book and launch Telehealth visits with your patients right from your EMR. More details to follow soon!

MyHealthAccess Overhaul

We're very excited to announce some major changes for our MyHealthAccess patient portal which will be launching shortly. Within the next two weeks we'll be launching a new responsive website design which will allow patients to do their online booking easily on a PC, tablet or mobile device. Shortly after the launch of the new UI we'll also be launching new mobile applications for Android and iPhones to enhance MyHealthAccess with a native mobile experience. 

We're also going to be launching the beta of our new Telehealth application which will be tightly integrated with your Juno EMR and a patients MyHealthAccess app. We're very excited about these major updates to our program and look forward to an exciting end of summer!

Great news! New PDF reports are now available through Excelleris for our clients in British Columbia!  What does this mean?  Having access with receiving even more reports directly and electronically to your Juno inbox! Saving you more time and keeping patient files efficiently up to date!

New Juno Scheduler


Juno EMR has been receiving a virtual face-lift in the new Juno UI!  To check out how the new Juno UI looks in your EMR all you need to do is click the green Oscar icon on the top left of your main schedule screen. Our development team has been focused on creating the best efficiencies within the Juno EMR program and we're excited to announce that our new scheduler will be rolling out for all clients over the next few weeks!

The new scheduler allows you to drag and drop appointments, drag to change their length, and it is much more responsive and pleasant to look at than the old scheduler. It also comes with an option to use the chart from the old UI if desired.

Newest Features!


Watermark Feature:
Based on client requests we have now added a new watermark feature for prescriptions! This will help eliminate any potential fraudulent prescriptions being made. Once the watermark feature is activated a watermark image can be uploaded via the Manage Clinic Details pages under the Administration tab. Contact our support team to help set up your watermark today!

Referring a Doctor:
Being able to select a referring doctor is now a simple click away!  Now under the Consultation Request page you can now simply select from the drop box to add the referring doctor of choice for any future consultations.

Measurement Data:
Easier and more efficient! Measurement data can be entered directly into the current open encounter note instead of creating a new encounter note entry. Saving you time and keeping your encounter notes up to date with less clicks!

Juno's eFaxing integration just got better!

As many clients will have noticed over the past few weeks we've been rolling out some significant updates to our eFaxing integration aimed at streamlining the process, lowering maintenance costs and showing more data directly in Juno EMR.

Firstly, we're excited to announce that as of May 1 all customers who have been transitioned to the new eFax integration with SRFax will no longer be charged any monthly fees for the incoming fax integration!  Some of our clients are still on our old fax integration but we can migrate any customer at any time and we're hopeful that we can get everyone migrated to the new system within the next week or two.

The new eFax integration connects Juno to SRFax directly through its API to send and receive faxes. We are also using the API to pull fax statuses out of SRFax and into the Juno Admin panel. If you go to the Admin link in Juno you will see the "Faxes" category. Listed within this category is a "Fax Configuration" tab where you can set-up and manage your SRFax integration as well as a "Fax Sent/Received" tab where you can view all of your faxes and their associated statuses.

Fax Configuration

If you're currently using the old SRFax integration our support team will assist you with the transition to and configuration of the new fax system to ensure it goes smoothly. To get started you can either email our support team to ask them to make the change right away or alternatively they will contact you when we're ready to help make your update. The transition is painless and simply requires a reconfiguration of your settings. If you're new to eFaxing altogether with Juno we can help you get set-up for eFax by contacting our support team once you have your own SRFax account. eFaxing can be enabled for your outgoing prescriptions, consults, documents and eForms and it can be enabled for all incoming faxes directly to your Juno Inbox.

Faxing Reports

The Fax Sent/Recieved link in the Juno Admin panel allows you to see the status of all faxes sent/received in your EMR. Here's a screenshot of what it looks like when its active!


In this way you can easily check right in Juno EMR to see if your sent faxes were successful. Our new fax integration also tells you right when you're faxing if there are any initial connection issues with sending your faxes such as invalid numbers or problems with your SRFax account.

With this new fax integration Juno will automatically be marking your incoming faxes as "read" in SRFax once they've been downloaded so that they aren't downloaded to Juno again. Because of this it is important to note that you don't want to be viewing your "new" documents directly in SRFax or that will mark them as "read" and they will not get automatically placed into your Juno Inbox.

Check out our new site!

Juno EMR Services is excited to announce the launch of our new site today at https://www.junoemr.com! With our name change in February this year we thought it was high time to update the look and feel of our marketing site as well. Please let us know if you like it and if you see any issues with it you can always contact us.

Please note that other than some colors on our corporate site nothing else is changing with your EMR at this time. Login pages function the exact same as always except that now they're outlined in blue instead of red. We hope you like it!

Summer is in full swing!

Summer is in full swing!
To celebrate, we thought we’d show you a bit of what we do behind the scenes to keep your Juno EMR instances up and running at their highest capability.

First, a big thank you to everyone who took the time to respond to our previous feedback letter, as well as your patience with the Capterra review request. We had some fantastic responses and for each review, Capterra had made a donation to "Girls Who Code", an organization that is dedicated to helping teach girls the power of software and coding, helping them break into the tech industry, so thank you all for helping to get the good word out!

Hardware Upgrades

As you all know, we take our hosting and support services very seriously and do all we can to continue to provide the best service for Oscar McMaster possible.

This year we’ve begun updating all of our clients to Oscar 15 which is an ongoing process, there was a number of updates to the software that needed to be completed before we happy with what we could provide to our clients.

Oscar 15 is quite a bit more resource intensive than Oscar 12.1 so one of the solutions we've implemented to keep your servers running as quickly as possible was to replace all of our server hard drives with Solid State Drives, which are capable of exponentially faster load and access times than traditional hard drives. This means there will be no bottleneck when accessing your server under heavy usage.

This of course was done at no additional cost to yourselves, as all hardware is part and parcel of our hosting services.


Software Upgrades

Some of our clients at larger clinics who require heavy schedule use in Oscar 15 were experiencing some slowdown when loading Oscar's native scheduling.

Our programmers had investigated and have spent several weeks refactoring all of the backend coding behind how the schedule works, removing a huge amount of unnecessary bloat and optimizing for all situations.

The result of this update was that the schedule loading time was vastly improved for all clients, with the large clinics/heavy users experiencing up to a 500 percent improvement in their load times!


User Experience Upgrade

One of the major updates that we have launched is eform versioning.

This functionality will be automatically present on all newly created eforms, however, if you have some old favourite eforms, you’re able to add versioning to them as simple as going to your eform library, editing the eform and selecting the appropriate checkbox.

You will have two flavours of versioning, the first “Show only latest revision of eform template” will only ever save a single link to the echart regardless of editing the existing form or selecting and saving a new form.

The second option “Show only latest revision of eform instance” will only save one copy of a form if it’s edited and changes are made, but if you start a fresh copy of the form, it will display a new link for the new form as well.

An example would be if a lab requisition was created and saved, but a checkbox was missed, you would be able to edit the same form, make the changes and only the latest version will be shown in the echart. The next time the patient is seen and a new lab request is filled out, both the previous visit, and the new visit will have an independent eform link.

Regardless of which option you use for your eform, you will still be able to view previous revisions of each eform in the eform page and the “eform revisions” option.

New EForm Generator

Exciting new feature announcement

Juno EMR Services (formerly OscarHost) is very excited today to publicly launch our new eForm generator for OSCAR McMaster. This new eForm generator is a big step towards all users being able to quickly add new forms to their EMR with minimal effort. Our team has been using and improving this new eForm generator for many months and our we now use it exclusively for the building of new forms for our clients. This new eForm generator allows us to generate online forms much quicker than we were previously able to do.

Some of our customers will already have seen and used this new eForm generator but many have not. All customers will have this new eForm generator integrated in their EMR when we upgrade them to OSCAR McMaster v15 over the next few months.

We're listening.

We're listening.
Last week we sent out a feedback survey and we'd like to say a big "Thank You" to everyone who took the time to fill it out and let you know, "We're really listening!" If you haven't had the chance to fill out the survey yet but would still like to you can do so by clicking here.

Overall the feedback we received was extremely positive but there were a number of places some customers felt we could improve. We'd like to take a quick moment here to address a couple of those and make sure everyone is aware of the resources we currently have available and some that will become available in the future.

1. eForms - One of the consistent pieces of feedback we received is that people wished eForms were more accessible for them. eForms are a big part of most of our customer's OSCAR experience and can save you a lot of time in your practice. The trouble with eForms is that while there are many eForms that are shareable across offices, many more are very local or even individual or need to be customized for a particular customer's experience. Here are some eForm resources you may not know about:
  • Did you know we have over 800 eForms available on our support portal at https://help.junoemr.com . These forms can be easily inserted into your OSCAR program by you or by our team for you. Email your requests to support@junoemr.com if you need help.
  • Thousands of eForms exist on the OSCAR usergroup website here: http://oscarcanada.org/oscar-users/emr-resource/eform/eform-examples
  • Did you know you can create eForms yourself by using the eForm generator within the OSCAR admin? We can train you on how to use it yourself or you can watch the video here or this one here or download a guide here.
  • Did you know we can build eForms for you? Just email support@junoemr.com with the details of the form you're looking for. Sometimes there will be a small cost associated with creating a new form but we'll always let you know before beginning work.
2. Integrations - Did you know that OSCAR has an API that allows other software systems to connect to it securely? We already integrate with a few different external systems that can make life easier for our customers such as:
  • OceanMD
  • Cliniconex
  • Livecare
  • ClinicAid
  • MyHealthAccess
At Juno we are open to integrating with many different partners. If there is something you would like specifically from this list or another partner that has integrated with OSCAR please let us know.

3. Government and community involvement - Most of our customers probably aren't aware but at Juno EMR we are currently undergoing an ISO13485:2016 certification audit to have our service quality certified as a medical device. This certification will allow our company to apply for OntarioMD certification and get our Ontario customers access to OLIS and HRM. In BC we're a part of the MSVA and we've opened a dialogue with Doctors of BC and will be involved in their upcoming quarterly EMR vendor consultation meetings. In Alberta we're working with AHS to bring our automated lab integrations to every corner of the province.

Unfortunately, due to their restrictions, we've not been able to join the OscarEMR association of service providers but we continue to have an open dialogue with them about how we can work closer together in the future.

4. OSCAR v15 - We've been working hard to get all of our clients upgraded to v15 and progress has been slow but steady for many months now. Between testing, bug fixing, code improvements and new hardware acquisitions our team has been extremely busy with this upgrade. Many customers have been migrated already. Our goal is to have everyone upgraded by the end of the summer although customers with custom features may lag behind the pack.

Love Juno? Spread the word! | Juno EMR Services Referral Program

Want to refer your friends?

Referring is easy and you can do it in many ways. Here are some of the favorites we've seen:

  1. The classic word of mouth. Having coffee with a doctor friend? Are they interested in getting started with an EMR service or are they using one that isn't quite doing the trick? Let them know about Juno and give them some reasons why you went with us! Perhaps you didn't want the hassle of buying or installing new hardware in your office. Or maybe you love that we offer training and support. Whatever it is, let your friends know about Juno!
  2. The mass email. If you'd prefer to tell lots of friends about us in just a little bit of time, using email is a great way to communicate. Simply cc info@junoemr.com when sending an email to a list of friends that might be interested and we'll take it from there!
  3. The info package. If you want something a little more substantial, we can provide you with some information sheets to pass around either online or at monthly medical meetings you might be attending. The info sheet is a quick one-page overview of what Juno has to offer and has all of our contact information included.
  4. The link. You can also send your friends and colleagues our way by simply adding a link to our site on a blog, newsletter, or website you might be a part of. Or maybe you know someone that puts out a medical publication or some sort? We're always looking for more exposure so let them know to get in touch with us and we'll be more than happy to answer any questions for an article or feature and provide them with any information they need.

How it works

We keep track of all referrals to ensure that you get rewarded for your support. We've added a new "Referred by" field to our sign up form so make sure to tell your referred friend to fill our your name or the name of your clinic in that area. That way we can attribute their sign up to you and apply your $200 credit! Please note that we will only apply a credit for customers who come on board and will use Juno EMR Services past the free trial period.

Cloud Practice Launches ClinicAid Web-Based Medical Billing in Saskatchewan

SASKATCHEWAN, Canada -- Cloud Practice Inc. is pleased to announce the launch of its ClinicAid medical billing and practice management software in Saskatchewan. Healthcare practitioners in the province will now be able to significantly streamline their billing process, submitting claims to the Medical Services Branch (MSB) and receiving assessments on claims directly through the web-based platform.
